Quick Answer: Both a virtual office and a rented office work for GST registration, but a virtual office is usually declared as "Shared" premises. It must be a real address in your state that you have a written right to use, not just mail forwarding. Both need the agreement plus one ownership proof, and the government fee is ₹0.
GST law never mentions a virtual office. When you use a virtual office for GST registration, the test is whether the address is a genuine place of business and whether your documents prove it.
Overview
| Point | Rented office | Virtual office |
|---|---|---|
| Nature of possession on the form | Rented or Leased | Shared, unless you hold a registered sub-let agreement |
| Premises documents | Agreement + one ownership proof | Agreement + one ownership proof |
| Government fee | ₹0 | ₹0 |
| Physical verification | Possible | Possible, and harder to pass if nobody works there |
| Suits | Traders and anyone storing goods | Freelancers and service providers |
Can you use a virtual office for GST registration?
Yes, if it's a genuine place of business you have a written right to use. The definition of "place of business" in section 2(85) of the CGST Act covers a place where business is ordinarily carried on or where you keep your books of account. The Central Board of Indirect Taxes and Customs (CBIC) accepts shared premises, and its Instruction 03/2025-GST of 17 April 2025 lists their documents in paragraph 6A(iva) and (ivb).
What makes a virtual office genuine and not just a mailing address?
A genuine one is a place you can do business from, not an address that only forwards post. It should let you:
- hold a written agreement naming your business and the exact address;
- display your GSTIN on a name board at the entry and your registration certificate inside, as Rule 18 of the CGST Rules requires;
- have your business confirmed if a GST officer visits.
What documents do you need for a virtual office vs a rented office?
You need the agreement plus one document proving who owns the premises: a property tax receipt, municipal khata copy (the civic body's property record) or electricity bill. What changes is whether the agreement is registered.
| Your arrangement | What to upload |
|---|---|
| Rented or virtual office, registered agreement | Agreement + one ownership proof |
| Rented or virtual office, unregistered agreement | Agreement + one ownership proof + identity proof of the person letting it |
| Rented office, electricity or water bill in your name | That bill + the rent agreement |
| Shared premises with no agreement | Consent letter + consenter's identity proof + one ownership proof |
A consent letter is only the fallback when there's no agreement. For PAN, photos and bank details, see the full list of documents for GST registration.
Which "nature of possession" should you select?
Select "Shared" for a co-working space unless you have a registered sub-let agreement, as the GST Network (GSTN) principal place of business FAQ says. A virtual office agreement is usually shared use, so the same applies. If yours is a registered lease of a specific unit, pick the option that matches it.
What should you ask the provider before you pay?
Ask these before you sign:
- Will the agreement name my business and the exact address I'll enter on the form?
- Which ownership proof will you give me?
- Is the agreement registered, and if not, will you share the lessor's identity proof?
- Can I put up a name board with my GSTIN?
- Will someone confirm my business to a visiting GST officer?
If a provider can't answer 1, 2 and 5, the address is closer to mail forwarding than a place of business.
How much does a virtual office for GST cost?
The government charges ₹0 for GST registration, whatever address you use. The provider's charge varies by provider, so check what the agreement includes.
| Cost | Who charges it |
|---|---|
| GST registration fee | Government: ₹0 |
| Virtual office or rent | Provider or landlord, as set in your agreement |
| Registering the agreement, if you do | Your state: stamp duty and charges vary |
A "GST department fee" in a quote is the provider's own charge; see the breakdown of GST registration fees.
Who should choose a virtual office, and who needs a rented office?
A virtual office usually works for GST registration for freelancers, and for GST registration for service providers who work remotely and hold no stock. Anyone storing goods needs a real space, since a warehouse or godown is itself a place of business. First check the GST registration turnover limit to see whether you must register at all.
Can you use a virtual office in Mumbai, Delhi or another city?
Yes, in any city within the state where you're registering. GSTN says the principal place of business must be in that state, and section 25(1) of the CGST Act requires registration in each state where you're liable.
What can go wrong with a virtual office address?
The biggest risk is a physical verification that finds no business there. It happens if you skip Aadhaar authentication, the GST portal's risk checks flag your application, or an officer decides to check.
- Verification report: the officer records whether your business exists at the address, with a GPS-tagged photo, in FORM GST REG-30.
- Clarification notice: an address that doesn't match your documents brings FORM GST REG-03, and you have 7 working days to reply.
- Rejection: no reply, or an unsatisfactory one, can end in FORM GST REG-05.
Rule 25 also allows verification after registration. Track your application by ARN to catch a notice early.
How do you register for GST with a virtual office address?
You file FORM GST REG-01 on the GST portal and upload the premises documents under principal place of business. If you'd like help, Jaagruk Bharat offers assisted GST registration and files it with you on the GST portal. The GSTIN itself is still issued by the GST department.
